Annual General Meetings (AGMs)

 

An AGM is a formal governance meeting that takes place in accordance with the setting’s governing document.

The AGM provides opportunities to:

  • Review the work of the setting over the previous year and celebrate successes

  • Present annual and financial reports

  • Elect the management committee or office bearers

  • Consider constitutional amendments or motions where required

  • Ensure accountability and transparency to members

Your governing document will outline:

  • When the AGM must take place, typically once per year

  • How much notice must be provided

  • Quorum requirements

  • Membership and voting arrangements

  • Election procedures

When planning your AGM, settings should:

  • Check the governing document in advance

  • Set a suitable date, time and venue

  • Circulate notice and agenda within the required timeframe

  • Prepare reports and financial information

  • Ensuring voting processes are clear and fair

 

Typical AGM agenda items include:

  • Welcome and apologies

  • Approval of previous AGM minutes

  • Matters arising

  • Annual report

  • Treasurer’s report and approval of accounts

  • Election of committee members

  • Any other business

  • Closing remarks

    Committee recruitment should be considered well in advance of the AGM. Providing information on roles and encouraging participation can help strengthen governance and sustainability within the setting.
